Confidentiality & Data Protection

• All information will be kept confidential.

• As standard we will require your name, address and email details in order to deliver items to you.  It is your responsibility to advise us of any changes to your contact details.

• Virtual Little Bee Ltd will not sell or pass on client information to any 3rd parties, unless I have written request by the client to do so. I guarantee 100% confidentiality at all time and I am happy to sign a Confidentiality Agreement to that effect.

• All work will be kept on file for 6 months and after that time will be destroyed unless specific instructions to the contrary are given by the Client.

• Virtual Little Bee Ltd is registered under the Data Protection Act with the Information Commissioner’s Office and take every reasonable step to protect your information.

General Terms

• An Initial 30-minute consultation is complimentary and will be carried out by email, telephone, Skype , Zoom, FaceTime, Hangouts or WhatsApp.

• A signed contract is required before commencement of work. This indicates acceptance of our terms and conditions and our privacy policy.

• Work can be accepted from the client by email, Drop Box or Google Drive.

• All work carried out by Virtual Little Bee Ltd will be proof-read, however final proof-reading of the work lies with the client.

• For larger projects a time frame will be agreed with the client.

• Virtual Little Bee Ltd does not accept liability or responsibility for the end use of any documents or materials produced or edited by us on behalf of the client.

• Virtual Little Bee Ltd reserves the right to reject any work which we believe to be unlawful or immoral.

• Written quotations are provided on request and a signed Booking Form is required before undertaking any project. Signature of the Booking Form constitutes acceptance of these Terms & Conditions.

• Should ongoing project work be suspended or delayed through any default of the client, Virtual Little Bee Ltd shall be entitled to immediate payment for work already carried out and expenses incurred.


Payment Terms

• Payments are to be made bank transfer (details can be found on your invoice).

• Payment by PayPal can be accepted for overseas clients, the additional costs incurred by PayPal will be added to the client invoice.

• Pay as you go work will be invoiced at the end of each month and payment is then due 7 days from the date of the invoice.

• A minimum of 1 hour will be invoiced per project at the hourly rate agreed (work is invoiced at the 1-hour minimum per project, thereafter it is invoiced in 15 minutes’ segments).

• A 50% deposit is required for all work estimated over £50.00, and for urgent jobs. The client agrees to pay the balance upon completion of the work.

• First-time clients will initially be invoiced after two (2) weeks then all subsequent invoices will be at the frequency agreed.

• Should ongoing project work be suspended or delayed through any default of the client, Virtual Little Bee Ltd shall be entitled to immediate payment for work already carried out and expenses incurred.

• Additional Expenses - any costs incurred (postage, courier charges, mileage, phone calls on your behalf if you are not on the call minding retainer and text messages etc.) will be included within the monthly invoice.

• Overdue invoices (payments not made within 7 days of receipt of an invoice) will incur a £10 fixed charge + an 8.5% interest fee. If an invoice is outstanding for more than 14 days we will not carry out any work for the client until the outstanding amount is paid in full.

• In the event of a contract being terminated, the client agrees to pay for all work completed up to the termination date.

Liability

• Virtual Little Bee Limited will take all reasonable precautions to safeguard the property belonging to its clients. Virtual Little Bee Limited cannot be held responsible for any loss, damage, theft of data, projects, equipment or any items relating to assignments, during transit to, from or whilst at Virtual Little Bee Limited’s premises. However, items being posted to clients will be done via recorded delivery.

• Due to the varied nature of Virtual Little Bee Limited’s work; it is not possible to insure client’s property.

• Clients must make copies of all data and information and insure equipment and items for use away from their own premises, prior to submitting to Virtual Little Bee Limited.

Clients have sole responsibility for their own adequate protection and back up of data and/or equipment used by themselves and will not make a claim against Virtual Little Bee Ltd for lost data, re-run time, inaccurate instruction, work delays or lost profits resulting from the client’s lack of protection.

• Final proof-reading and checking of all work supplied is the responsibility of the client. Virtual Little Bee Limited must be notified of any errors within 2 days of receipt of completed work. Any errors generated by Virtual Little Bee Ltd will be amended without charge, however any amendments or alterations suggested by the client, will be charged at the standard hourly rate.

Virtual Little Bee Ltd will not be held liable or responsible for the end use of any work completed by us, including anything that may be sent to a 3rd party at the clients request.

• Due to computer viruses, All incoming documentation will be scanned using anti-virus software. Whilst Virtual Little Bee Ltd makes all reasonable effort to protect documentation produced by themselves, it is the client’s responsibility to install anti-virus protection on their own equipment. However, we may still not open unsolicited attachments to emails, or emails that look suspicious from an unrecognised sender, have no subject heading or contain no message alongside an attachment.

• In no event shall Virtual Little Bee Ltd be liable for any indirect punitive, special or incidental damage (including loss of business, revenue, profits, use, data or other economic advantage).

• Virtual Little Bee Ltd operates with professional indemnity insurance, cyber attack insurance and public liability insurance.
